Event Policies






  • Attendee agrees to release and hold Photonics ME event organisers harmless from any and all claims, demands, and causes of action arising out of or relating to your or your representative’s participation in the event you are registering to participate in and use of any associated facilities or the accommodation related to the event.
  • You acknowledge that attending an event involves some risk of exposure to COVID-19 or other communicable diseases. You voluntarily assume this risk and agree not to hold Photonics Middle East, its organisers or any of its affiliates, liable for any illness or risk you may meet with. You also agree not to attend the event if you feel ill or have had recent exposure to a contagious disease case.
  • Hand sanitizer will be provided in all locations and disposable face masks upon request.
  • It is our policy that all participants and associates are entitled to have a respectful treatment and any form of harassment, sexual or otherwise, bullying, discrimination, is unacceptable and will not be tolerated. This policy applies to all locations and situations where the conference related activities are conducted.
  • All Research work has to be original, authentic and repeatable, and the Technical Committee reserves the right to reject a research work from publishing or presenting in the Conference. Any sort of misconduct is observed, the Organisers have the right to take appropriate actions after conducting investigations by competent committees that follow fair practices.
  • For peer review of the technical content, we follow norms of reputed conferences similar to SPIE. Peer review provides advice concerning research proposals, the publication of research results and career advancement of colleagues. It is an essential component of the scientific process. Authorship should be limited to those who have made a significant contribution to the concept, design, execution or interpretation of the research study. All those who have made significant contributions should be offered the opportunity to be listed as authors. Other individuals who have contributed to the study should be acknowledged, but not identified as authors. The sources of financial support for the project should be disclosed. All authors should actively participate in the technical and scientific content creation of a research paper and it is responsibility of the first author to ensure consent before communicating an abstract or a research paper.
  • Through submission of a work to the Conference, all authors agree to give their consent for publication of the paper in full or in part by the Conference Organisers or its associates. Photonics Middle East Organisers or our official event management, in their sole discretion, reserves the right to accept or decline an individual's registration for an event.
  • Paper Submission: Authors and Speakers agree to the following conditions by submitting an Abstract and the Paper.
  • Submit a manuscript by the advertised specific due date here, for publication in the Proceedings. Oral presenters: Recording, live transmission and publication of the presentation in the Conference Proceedings published by the Publishing Partner of the Conference. Email messaging for the conference series. Obtain funding for registration fees, travel, and accommodation. Attend the meeting and present as per the scheduled timing. Authors will hold copyright of all scientific materials but authors must consent the Photonics Middle East for the publication and give publication license to the Photonics Middle East. All submissions will be assessed by the Conference Technical Committee (CTC) and the decision of the Chairman of the CTC on the acceptance or revision of a Paper will be final. CTC has the right to reject any paper if it does not meet the content standards.
  • By registering for the Conference or an associated event, the participant gives full permission to the Organisers to capture, store, use, and/or reproduce the participant’s image or audio or do audio visual recording create derivative works of these images and recordings. By registering for the Conference or its other events, the participant waive any right to inspect or approve the use of the images or recordings or of any written copy. The participant also waives any right to royalties or other compensation arising from or related use of the images, recordings, or materials. By registering, the participant release, defend, indemnify, and hold the Organisers harmless from and against any claims, damages, or liability arising from or related to the use of the images, recordings or materials, including but not limited to claims of defamation, invasion of privacy, or rights of publicity or copyright infringement, or any misuse, distortion, blurring, alteration, optical illusion, or use in composite form that may occur or be produced in taking, processing, reduction, or production of the finished product, its publication or distribution.
  • If an abstract is not accepted and a delegate does not want to attend the Conference, the Registration fee, after reducing a 10% Processing Fee and the actual bank charges will be returned, if formally informed, within a week of the abstract rejection.
  • If due to some unforeseen reason if the Organisers cancel the Conference and/ or its associated events, the registration fees will be refunded to the registrants. Registrants will be responsible for cancellation of travel arrangements or housing reservations and the applicable fees.
  • To verify registered participants and to achieve security, the Organisers can ask the participants to present a government-issued photo identification at the registration to collect registration materials. Individuals are not allowed to pick up badges for other attendees. Further, attendees cannot nominate another proxy person to participate in the registered event.
  • Those who exhibit and, demonstrate or use lasers, all applicable safety rules are to be adhered to as per the Class of the lasers used. If a damage is caused due to a violation, the responsible person/ organisation will be fully liable for the damages.
  • Apart from the Organisers policy, all actions of the participants shall be in accordance with the Rules and regulations of the Venue and Laws prevailing in UAE.
  • Unauthorised audio and video recordings of the Technical Sessions of the Conferences and its transmissions are prohibited. With prior written consent of the Organisers, a presenter or his associate can record their technical presentation. Request for consent in standard format will be available at the conference desk. Those who do not comply with this policy shall be asked to surrender the recording.
  • Promotion and marketing by unauthorized persons in the exhibition hall is prohibited. If any non-exhibiting organization is observed to be distributing information or soliciting business will be asked to leave immediately.
  • Personal belongings should not be left unattended in meeting rooms or public areas. As a safety measure, all unattended items are subject to be removed by the Security.
  • The Conference Organisers will put in efforts to provide wireless access to the attendees. The participants Properly secure your computer before accessing the public wireless network.
